Terms of service

Last updated: 14 October 2026

1. The service

SponsorLedger provides software tools to help organisations organise UK sponsor-licence compliance work, sponsored-person records, evidence, deadlines, reporting actions, worker notifications and inspection-readiness activity. Features may change as the product develops.

2. No legal advice or guarantee

SponsorLedger is compliance software, not a law firm, immigration adviser or substitute for professional advice. The service can help structure information and highlight actions, but it does not guarantee compliance, a particular Home Office outcome, or that a sponsor licence will be granted, retained or remain A-rated. Users remain responsible for decisions, submissions and compliance obligations.

3. Accounts and authorised use

Users must provide accurate account information, keep credentials secure and use the service only for organisations and records they are authorised to manage. Account access must not be shared in a way that defeats security or role controls. We may restrict or suspend access where necessary to protect the service, users or data.

4. Customer data

Organisations remain responsible for the lawfulness, accuracy and quality of information they submit, including employee and immigration-related information. Customers must have an appropriate basis for uploading personal data and must manage their own notices, permissions and statutory obligations. SponsorLedger may process customer data as needed to provide, secure and support the service.

5. Worker self-service

Worker-submitted absence, contact, evidence or other notifications are staged information for sponsor review. A worker submission does not by itself update an organisation’s authoritative sponsor record or make a report to the Home Office. The sponsoring organisation remains responsible for reviewing information and taking any required action.

6. Availability and changes

We aim to provide a reliable service but do not promise uninterrupted availability. Maintenance, security work, third-party outages or product changes may affect access. We may improve, replace or retire features where reasonably necessary, taking account of active subscriptions and legal obligations.

7. Acceptable use

The service must not be used to break the law, infringe rights, access another organisation’s data without authority, introduce malicious code, interfere with security controls, scrape or overload the service, or misrepresent SponsorLedger output as a guaranteed legal determination.

8. Intellectual property

SponsorLedger and its software, interface, documentation and service design remain protected by applicable intellectual-property rights. Customers retain rights in their own data. Use of the service gives a limited right to access its functionality during the applicable subscription or authorised access period; it does not transfer ownership of the platform.

9. Liability

To the maximum extent permitted by law, SponsorLedger is not responsible for immigration, employment or regulatory decisions made solely in reliance on software output, or for losses caused by inaccurate customer data, missed external deadlines, unauthorised account use or services outside SponsorLedger’s control. Nothing in these terms excludes liability that cannot lawfully be excluded.

10. Changes and contact

These terms may be updated as the service develops. The version published here is the current website version. Contract-specific commercial terms agreed with an organisation may supplement these terms and will prevail to the extent of a direct conflict. Questions can be raised through the support or account contact channel supplied with the SponsorLedger service.
